2024 Summer Conference Registration Policy
REGISTRATION
Registration Fees Include:
- Access for one Attendee – sharing of Attendee credentials is not permitted at any time. Credentials are issued to and used by only the Attendee named in the registration.
- Access to all sessions.
- Opportunities for question time with speakers.
- All provided meals, social and networking sessions activities.
- Access to the interactive exhibit hall.
Registration Deadline
To secure the Standard registration fee with the $100 discount, attendees must register on or before May 15, 2024. The Online Registration will close at 11:59 PM ET on June 17, 2024. Onsite registration will be available for a limited number of walk-in attendees through June 22, 2024. Walk-in registrants will incur a service fee of $75.
Attendee Cancellation Policy
Requests for cancellations and/or refunds will be accepted up to June 17, 2024, and a 20% administrative fee will be deducted. Please note that this fee will be incurred for all cancellation/refund requests regardless of when they are received. Once a registration has been charged to a credit card, the MDVMA is not able to change the credit card used for payment. Refunds will be credited using the original method of payment less the cancellation fee. Cancellations received after the cutoff date will not be refunded for any reason. Refunds will not be issued for no-shows.
Please remember that canceling your registration does not automatically cancel your hotel reservation. Attendees are responsible for canceling their own hotel reservation.
Meal Preferences
By completing the MDVMA 2024 Summer Conference registration, you agree to provide, if applicable, the MDVMA your meal preferences and/or dietary restrictions so advanced preparation can be made for your accommodation prior to the event. Accommodations above and beyond standard dietary restrictions must be cleared with MDVMA staff prior to the event and may result in additional charges to the attendee if no advance notice is provided. Attendees may not directly request meal accommodation with hotel staff.
Meal Tickets for Non-Attendees
Individuals not participating in the conference who accompany a paying attendee may eat the food provided at the conference by purchasing a meal ticket. Daily meal tickets are available to purchase for $30 per person, per day for anyone 12 years of age or older. Children ages 11 or younger do not require a meal ticket. A meal ticket includes all meal functions for the day (breakfast and lunch on Thursday, Friday, and Saturday and light hor d'oeuvres at Thursday reception).
Force Majeure
After the cancellation cutoff date, payments made are not refundable for any reason, including, but not limited to, failure to use conference attendance credentials due to illness or due to any event beyond the reasonable control of the parties, such as an act of God, natural disaster, travel-related problems or an act of terrorism.
No Substitutions
We do not allow substitutions on registrations. If you are unable to attend, you will need to cancel your registration by the cancellation cutoff date.
Badge Policy
Sharing of Attendee badges/credentials is not permitted at any time. Badges/credentials are issued to, and can be picked up by, and used only by the Attendee named in the registration. Photo ID may be required for each Attendee when collecting a badge onsite. Badges must be worn at all times during the Conference. MDVMA reserves the right to remove any attendee from the conference found violating these conditions and may restrict this attendee from participating in future MDVMA conferences.
Payment Policy
Payment must be received in full before registrants will be granted access to the program. If paying by check, please ensure your check is received by MDVMA no later than June 17, 2024, to guarantee access. Please include a copy of the invoice or confirmation email with your check. Submission of a registration online constitutes an official registration and intent to attend the Summer Conference. Invoices are payable upon receipt, and full payment must be received before June 17, 2024, in order to gain entry to the Summer Conference. Please note MDVMA does not accept cash payments onsite at the conference, unless required by law.
You agree that, in the unlikely event that the MDVMA cannot resolve your payment issue and you dispute the credit card charge, your electronic statement may be used as evidence that said charge is valid and just. If there are any issues with your credit card charge, please contact MDVMA at jthurman@mdvma.org.
Registration Confirmations
Confirmations are auto generated and sent to the email address provided during the registration process. If you did not receive your confirmation, please email jthurman@mdvma.org.
Recording Consent
By completing the MDVMA 2024 Summer Conference registration, you grant permission for MDVMA (and all persons or entities acting on MDVMA’s behalf or with its authority) on a sublicensable, worldwide, and irrevocable basis the nonexclusive right and permission to use your name, likeness, photo, video recording, or the trade name of or trademark for any entity on behalf of which you are acting provided in connection with your participation in the MDVMA 2024 Summer Conference to publish for promotion of future MDVMA events or member-related activities.
